At Happy Life Therapy and Coaching, your privacy is taken seriously. This policy outlines how your personal information is collected, used, and protected, in line with the General Data Protection Regulation (GDPR), UK GDPR, the Data Protection Act 2018, and relevant UK data protection laws.
What data is collected?
Data is collected only through the completion of the contact form, assessment process, and therapy or coaching sessions.
How will I use your data?
I collect and use your data so that I can:
• Contact you and arrange appointments
• Provide therapy and coaching services
• Issue invoices and manage payments
• Maintain professional records in line with legal and ethical requirements
• Contact next of kin, GP, or relevant services where there is a safeguarding concern
Who will see my data?
Your data will not be shared with other services for unrelated or marketing purposes.
Your data is stored securely and only accessed where necessary for the provision of safe and appropriate care.
Privacy and confidentiality of your sessions
Any information will only be shared under the following conditions:
a. Clinical supervision:
All information discussed in supervision is anonymised and treated as confidential.
b. For your personal safety:
In the event of serious concern for your physical or mental health, information may be disclosed to your GP, mental health services, social services, or safeguarding teams.
Where possible and appropriate, this will be discussed with you before any disclosure is made, and you will be informed of the steps taken.
How long your data is kept
I keep records in accordance with professional body guidelines and legal requirements. This usually means retaining clinical notes for up to 7 years after our work ends (or until the client turns 25 if under 18 at the time of therapy).
After this period, data will be securely deleted or destroyed.
Sharing your information
Your personal data is never sold or shared for marketing purposes.
Information may only be shared:
• If required by law or legal process
• If there is a risk of serious harm to you or others
• With your explicit written consent
I may discuss aspects of my clinical work in professional supervision (a standard part of ethical therapy and coaching practice), but you will never be identifiable.
Complaints procedure
If you have a concern or complaint about how your personal data or information has been handled, please contact me first so I have the opportunity to understand and resolve the issue directly.

I will acknowledge your complaint without undue delay and aim to provide a full response within 30 days. If further investigation is required and I am unable to respond within this timeframe, I will explain the reason for the delay and keep you updated.
If you remain unhappy after this process, you have the right to raise your concern with the Information Commissioner’s Office (ICO).
